MINUTES OF THE BOARD OF DIRECTORS MEETING
MARCH 11, 2003
Meeting held at Bannerman Place, 1508 Bannerman Road, 6:30 p.m.
Board members present:
Robert Hicks, Steve Spook, Steve Stolting and Sharon Elsberry
Meeting called to order at 6:35 p.m. by President, Robert Hicks
The board elected the following officers:
Robert Hicks- President
Melinda Halvorsen-Vice President
Steve Spook-Secretary
Steve, Stolting- Board Member
Sharon Elsberry- Treasurer
Assignment of board member’s tasks/duties:
Melinda Halvorsen: Legal Contact/Fall Picnic
Robert Hicks: Landscape
Steve Spook: ACC
Steve Stolting: Maintenance/Repairs
Sharon Elsberry: floater
Motion to approve board assignments and position: Steve Stolting

Financial Reports for January and February 2003 submitted. Total assets as of
February 28, 2003 were $105,187.44.

Budget Adjustments: The board voted to make several changes to the 2003
budget. The changes are as follows:
Capital Improvements increased to $13,000.00
Legal Services decreased to $5,000.00
Fall Picnic increased to $6,000.00
Miscellaneous decreased to $2,328.25
Irrigation Repair:
Jason Black submitted an irrigation repair report including a proposal to repair
the electrical problem at the Spanish Moss entrance. Motion to accept Jason’s
estimate at $200-$400: Sharon

David Theriaque sent a list of pending legal items. The board officially
acknowledged approval of the Barlow’s plan to screen their RV. The fence is
completed and the landscaping will be installed by April 8, 2003.

Legal Representative:
The board voted previously to have Robert Hicks meet with the association
attorney, David Theriaque, to discuss the legal spending and to offer a monthly
retainer fee in an attempt to lower the fees assessed to the community. Robert
reported that David said he is not interested in a retainer arrangement at all
and was not certain that he wished to continue representing the association.
David will call Robert on Wednesday to give his answer on whether or not he
wishes to remain as legal counsel for Ox Bottom Manor.
Pool and pool house plan on Quail Ridge submitted for ACC approval reviewed
and discussed. Steve & Bryan reviewed the site and recommended a variance for
this plan. The board members will review the plan before voting to issue the
variance for the setback.
