OX BOTTOM MANOR COMMUNITY ASSOCIATION, INC.
MINUTES OF THE BOARD OF DIRECTORS MEETING
APRIL 8, 2003

Meeting held at Bannerman Place, 1508 Bannerman Road, 6:34 p.m.

Board members present:
Robert Hicks, Steve Spook, Steve Stolting, Sharon Elsberry & Melinda Halvorsen

Meeting called to order at 6:35 p.m. by President, Robert Hicks

Legal Counsel:
Robert explained his meeting with David Theriaque and suggested 3 options to the board of directors concerning legal counsel for the association since David was opposed to the request of a monthly retainer agreement.
1. Maintain current relationship with David Theriaque
2. Modify David’s relationship with the association
3. Request proposals from other attorneys
Motion from Steve Spook: Solicit proposals from attorneys including David Theriaque
Second: Sharon
Vote: 4-1 in favor
Melinda opposed

Robert will speak with David about continuing as the legal representative and update him on the board’s desire to obtain proposals.

Minutes from the March 11, 2003 board meeting approved as submitted.

Vote: All in favor

Chantal Smith attended the meeting and proposed the possibility of a community vote to have the mailboxes changed from the brown wood to a cast aluminum type design. Since the mailbox issue has been debated several times over the years with a community vote, the legal requirements for obtaining the proper petitions will be reviewed before moving any further with this issue. Chantal will report to the board at the next meeting.

Mr. Barlow’s fence/screening plan for his RV is completed and needs final inspection. Bryan Seaquist will perform the final inspection and Dan Moniz offered to assist him.

Pool house request:
Homeowners previously submitted a pool house plan for ACC approval that would require a setback variance. Steve Spook submitted notices to the adjoining neighbors and no comments were received. The homeowner needs to submit a revised site plan showing the corrected setback before approval and variance is granted.

The next board meeting is scheduled for Tuesday, May 13, 2003.
