MINUTES OF THE BOARD OF DIRECTORS MEETING
November 19, 2003

Meeting called to order at 6:32 p.m. by President, Robert Hicks

Minutes from the October 14, 2003 board meeting approved as submitted.

Ox Bottom Manor Logo Proposals:
The Board voted unanimously to approve a new Ox Bottom Manor logo design for letterhead, website and new signage.

Capital Improvements-

Common Area Lighting Proposal from Illuminations:
Motion to accept Illumination’s proposal for landscape lighting enhancements at the Ox Bottom Manor Drive entrance island as submitted, at a total price of $5,000.00: Sharon
Second: Steve Stolting
Vote: all in favor
Jason will perform a clean-up of the island to include trimming and pruning before the new lighting is installed.

Landscaping Improvements for Hawk Meadow Entrance:
Steve Spook and Sharon will arrange to meet with Jason at the Hawk Meadow entrance to discuss the landscaping proposal. The proposal will be modified to include only replacement of the dead plantings and replacement of the sod in the island. The new plantings will be installed at a later date.

Motion by Sharon: meet with Jason next week about updating the proposal regarding the replacement of the dead plants and sod only.

Steve & Sharon will e-mail the board members with this information, for a vote via
e-mail before the next board meeting.

Community Park: Robert reported that the City Streets & Drainage Dept. met with their Legal Department last week to discuss the possibility of development of a community park on Meadow Ridge Road. The City would like a response from the Ox Bottom board with suggestions of what the community wants to accomplish in this area.
Motion by Frank:
Submit the following suggestions to the city as possible future enhancements for the park area: plant trees on right-of-way, playground equipment, picnic tables, benches, walking trails.

Vote: 4-0, Steve Spook voted no.

Other issues discussed:
A December edition of the newsletter will be produced to include the mailbox article encouraging homeowners to replace and update their mailboxes as needed.
The December board meeting is cancelled.
Annual meeting tentatively scheduled for Tuesday, February 17, 2004.
Sharon volunteered to put up the Holiday Decorations at the entrances and requested additional funds to upgrade the decorations.
Motion by Steve Stolting: allow up to $1,000.00 for new Holiday Decorations for the entrances.

ACC Report: Bryan reported that he had two new construction plans submitted for ACC review.

All bills submitted were approved.
