MINUTES OF THE BOARD OF DIRECTORS MEETING
January 14, 2004
Meeting held at Bannerman Place, 1508 Bannerman Road

ACC Report: Bryan Seaquist
Bryan reported that a couple of violation notices had been mailed out to
homeowners. The owner at the corner of Heritage Ridge and Meadow Ridge was
notified that he needed to replace the sod on the right-of-way damaged by his
improvements. Marie will check with the City to request they repair the area
because the homeowner refused.
Capital Improvements Update:
Three of the Board members met with Jason of Eagles Eye on site to review his
landscape/maintenance proposal for the entrances. Some of the pruning and
clean-up has been completed and the Hawk Meadow Island will have new sod
installed soon.
Carlos of Illuminations completed the installation of the approved landscape
lighting projects at the Ox Bottom Manor Drive entrance island and also the
middle island on Ox Bottom Manor Drive. The Board would like to proceed with the
other lighting projects proposed by Carlos for other common areas. Robert will
e-mail the pricing to the Board members for a vote.
Motion by Sharon: Proceed with project expenses up to $3,000.00 for the two
designated areas, where Hawk Meadow dead ends and Meadow Ridge at Ox Bottom
Manor.

Other issues discussed included contacting the City concerning the low
voltage of the street lights in the older sections Ox Bottom Manor, requesting
the addition of street lights, having the poles repainted and reporting the
drainage issue at the corner of Ox Bottom Manor & Hawk Meadow.
Bryan Seaquist and Steve Spook will work on estimates for landscaping
improvements for the Spanish Moss entrance. Marie will find out how close to the
road the City will allow the installation of plantings along the Spanish Moss
strip.
Grounds Maintenance Contract:
The current contract with Eagles Eye Landscaping & Irrigation will expire on
February 28, 2004. The Board will continue with Eagles Eye after the expiration
date on a month-to-month basis until new bids are requested and accepted.
Annual Meeting & Election:
The annual meeting is scheduled for Tuesday, February 24, 2004 at 6:30 p.m. at
the Hawks Rise Elementary Cafeteria. The cost to rent the premises and pay the
custodian will be $80.00. Marie will mail the notices to include the absentee
ballot and proxy form.
Steve Stolting and Bryan Seaquist volunteered for the nominating committee. The
committee will submit 5 names to be listed on the ballot. Nominations will also
be accepted at the meeting. Sharon, Robert, Frank and Steve Spook all
volunteered to have their names placed on the ballot.
All bills submitted were approved.
